Job Description: Executive Director of Alpha Phi Alpha Fraternity, Inc. (‘Fraternity’)

The Executive Director works in partnership with the Fraternity’s Board of Directors, overseeing the General Office staff to provide leadership, vision and direction for the Fraternity. He is expected to develop an organizational strategy that reflects the strategic plan for the Fraternity as developed collaboratively with the Board of Directors, implement policies approved by the Board of Directors, manage the day-to-day operations and programs of the Fraternity, and represent the Fraternity in the fraternity and sorority community, with colleges and universities and to external partners.

Specific areas of responsibility and expectations for the Executive Director include the following:

Programming and Logistics

  • Oversee the development, implementation, definition of success criteria, and post implementation evaluation of new programs and services that support the mission and strategic plan as approved by the Board of Directors.
  • Regularly measure the performance of programs and services both qualitatively and quantitatively, and make justifiable recommendations on future changes, if necessary.
  • Oversee the continued successful execution of existing service and leadership programs with respect to programming and logistics.
  • Oversee the planning and logistics, recommendation of, and site selection for the annual General Convention and its execution.
  • Support all the regional conventions with appropriate support staff for problem resolution, membership rosters, delegate reports, and other data as requested or needed.
  • Manage the planning and logistics of board meetings and other special events.

Staff Management

  • Hire, educate, train staff members, and develop an efficient and effective staff structure and personnel policies which reflect the needs, requirements, objectives and goals of the Fraternity in collaboration with the Committee on Human Resources.
  • Develop and provide ongoing reporting of key metrics which measure staff progress toward accomplishing the mission and strategic plan, both short-term and long-term, as set by the Board of Directors.
  • Provide ongoing developmental guidance for staff members to take on increasing roles of responsibility within the General Office.


  • Project manage all expansion opportunities in collaboration with the Membership Extensions Committee and respective Regional Vice President, with responsibility for the successful chartering of provisional chapters.
  • Oversee the development of a multi-year directed expansion effort pipeline by working with campus officials and alumni.
  • Develop and implement policies, procedures, incentives, and/or programs to ensure continued college based membership growth in collaboration with the Board of Directors.

Fraternity Affiliated Foundations

  • Whenever possible, assist in the growth and advancement of the Fraternity affiliated Foundations.
  • Collaborate with the respective Board Chair or chief executive of affiliated Foundations to maintain and implement updated Memoranda of Understanding with the Fraternity as appropriate.
  • Support and assist with the fundraising campaigns by the respective Foundations.

Budget and Finance Management

  • Responsible for the supervision of all fiscal matters at the General Office with a fiduciary duty to safeguard all Fraternity assets.
  • Coordinate with the Committee on Budget and Finance and the Board of Directors in developing a comprehensive and realistic annual budget. Monitoring expenditures and making decisions consistent with the budget(s) as approved by the General Convention.
  • Provide regular and timely financial statements and financial forecasts to the Board of Directors with benchmarking or comparisons to previous years.

Risk Management Prevention/Triage

  • Ensure the Fraternity remains in compliance with all local, state and federal legal requirements. Positively interact with Fraternity’s insurance provider and General Counsel for any legal situations that may occur.
  • Coordinate with the respective Regional Vice Presidents to manage investigations into any notified risk management incidents, and where appropriate, develop recommendations for corrective action to be decided upon by the Board of Directors.
  • Manage insurance renewal process and subsequent communication to Chapters on anticipated changes to program and/or rate structure.

Relationship Management

  • Build positive relationships with all stakeholders in the Fraternity including college and alumni members, parents, campus administrators, external partners and volunteers at all levels of the Fraternity, to identify needs, requirements, or areas of improvement.
  • Represent the Fraternity in such organizations as the North American Interfraternity Conference, the Fraternity Executives Association, the Fraternal Information and Programming Group and the Association of Fraternity/Sorority Advisors and others as deemed appropriate.

Publications and Social Media

  • Collaborate with the Committee on Publications to oversee the development and quarterly publication of The Sphinx magazine. Also negotiate, procure, and manage the implementation of appropriate external vendor resources for the design, production, and distribution of same.
  • Proactively manage effective public relations campaigns through the strategic use of social media.

Facilities Management

  • Oversee the maintenance and renovation of the General Office facility to ensure a healthy and safe working environment.
  • Maintain compliance with all required local, state and federal building codes
  • Manage vendor selection via established procurement policies for invitations to bid (ITB) request for proposals (RFP), contract negotiations, recommendations and contract execution for unexpected and emergency repairs.
  • Maintain strong positive relationships with community and neighborhood associations, zoning and historic landmark designating authorities.

Constitutional Responsibilities

A candidate who is successful in the Executive Director position will have the following skills, competencies, and qualifications:

  • Bachelor’s degree, post baccalaureate degree preferred
  • 10 years of professional experience, preferably at a senior or executive level
  • Excellent interpersonal, written, and verbal communication skills
  • Excellent organizational skills, attention to detail, and ability to timely deliver on commitments
  • Experience working in or familiarity with international membership or non-profit organizations
  • Strong leadership skills and demonstrated experience working in a team-based environment
  • Strong knowledge and experience with Blackbaud financial management system
  • Strong ability to balance long-range strategic planning and short-term positive progress
  • Ability to build consensus, lobby and advocate on matters or initiatives beneficial to the long term viability of the organization
  • Strong ability to adapt, immerse and quickly ramp up in new or unfamiliar topics or areas
  • Strong ability to manage multiple projects in a fast paced environment
  • Strong ability to incorporate feedback for immediate improvement
  • Proven experience in prioritization and overall resource management
  • Proven experience in successfully managing to a given annual budget
  • Proven project management skills implementing collaborative objectives
  • Proven experience in identifying and implementing process improvements/needs
  • Previous experience in a people management/development role with at least 3-5 direct reports
  • Strong ability to manage horizontal and vertical levels of leadership including members of the Board of Directors, Regional Vice Presidents and other constituents while negotiating each with diplomacy
  • Ability to manage 25% travel
  • Ability to relocate to Baltimore, MD
  • Duly initiated and financially active member of the Fraternity
